Plain English explanation

What is VoIP and how does it work?

VoIP stands for Voice over Internet Protocol. In plain terms, it means making and receiving phone calls over your broadband connection rather than through traditional copper phone lines.

Instead of a physical line running into your building from the telephone exchange, your calls travel as data over the internet — the same connection your computers and phones already use. The quality is indistinguishable from a traditional call, the features are far more extensive, and the cost is typically significantly lower.

For your team, the experience is simple. They make and receive calls exactly as they always have — on a desk phone, a mobile app or a computer — and nothing about the day-to-day feels different. What changes is what's happening behind the scenes: a more flexible, more reliable, more cost-effective system running the whole thing.

Why businesses make the switch

What VoIP gives your business that traditional landlines can't

Cost

Lower monthly costs. VoIP call costs are significantly lower than traditional landline tariffs — particularly for internal calls between offices or team members, which are typically free regardless of location. Line rental costs are also lower, and there's no expensive ISDN hardware to maintain. Most businesses see an immediate reduction in their monthly telecoms bill after switching.

Flexibility

Work from anywhere. Because VoIP works over the internet, your phone system goes wherever your team goes. Staff can make and receive calls on their office number from home, from a client site or from anywhere with a decent broadband or mobile connection — using a desk phone, laptop or mobile app. No missed calls, no separate numbers, no office-hours limitation.

Features

More features, easier to manage. VoIP systems come with a range of features that traditional landlines simply can't match — call recording, call queuing, auto-attendant, voicemail to email, call analytics and more. And unlike a traditional PBX where adding features means a phone engineer visit, VoIP features are managed through an online portal. Add a user in minutes. Change your call routing without calling anyone.

Scalability

Scales with your business. Adding a new member of staff to a traditional phone system means ordering a new line and waiting for installation. With VoIP, adding a new user takes minutes — you assign them a number, they download the app or plug in a handset, and they're ready. Scaling down is just as simple. VoIP grows and shrinks with your business without the cost and lead time of physical infrastructure.

What you get

Everything included in a VoIP setup through FNBG

We handle the full VoIP setup — from choosing the right system for your business to configuring it, porting your numbers and training your team. Here's what's included as standard:

  • Number porting — your existing business numbers transfer across, so clients always reach you on the same number
  • System configuration — call routing, voicemail, auto-attendant and hunt groups set up to match how your business works
  • Device setup — whether you're using desk phones, mobile apps, softphones or a mix, we configure every device
  • Staff onboarding — your team trained on how to use the new system before go-live
  • Ongoing account management — we stay involved after setup, handling changes, additions and any issues that arise
  • Local Edinburgh support — one point of contact, not a national support line

Is VoIP right for your business?

Is VoIP right for your business?

VoIP is a strong fit for most Edinburgh businesses, but it works particularly well for:

Small and growing businesses — VoIP gives small businesses access to professional phone system features (auto-attendant, call queuing, multiple extensions) that previously only made sense for larger companies. For a business of five people, VoIP is often transformative — you look and sound like a much larger operation than you are.

Businesses with remote or hybrid teams — if your staff work from home some or all of the time, VoIP is the obvious choice. Everyone's on the same phone system regardless of where they're sitting, and calls to the main office number route intelligently to whoever is available.

Businesses migrating from ISDN — if you're on ISDN and facing the January 2027 deadline, VoIP is the most straightforward replacement. In most cases, the transition is seamless — same numbers, better features, lower cost. If your current ISDN system is relatively simple, hosted VoIP is almost certainly the right replacement.

New businesses — setting up a professional phone system for a new business used to mean significant upfront hardware cost and a wait for line installation. VoIP has changed that entirely — you can have a fully featured business phone system running in hours, with no hardware commitment and no minimum contract if you want flexibility.

Businesses in serviced offices or co-working spaces — VoIP works perfectly in environments where you can't install physical lines, and can move with you if you change location.

Business VoIP questions

Do I need fast broadband for VoIP to work properly?

+

VoIP uses very little bandwidth — a typical business call uses around 100kbps, which is a tiny fraction of even a basic broadband connection. For most Edinburgh businesses with standard business broadband, VoIP will work without any issues. We always check your connection speed and quality as part of our assessment before recommending a VoIP solution.

What happens to our VoIP system if the broadband goes down?

+

If your broadband goes down, VoIP calls over that connection won't work — this is the main practical difference from a traditional landline. However, most business VoIP systems have automatic failover options: calls can divert to mobile numbers or another location automatically if the primary connection fails. We configure failover as standard so your business isn't left without communications if there's a broadband outage.

Can we keep our existing phone numbers?

+

Yes — number porting transfers your existing business numbers to the new VoIP system. Your clients, suppliers and staff dial the same numbers they always have. We handle the porting process and time it so there's no gap in service.

Do we need new phones or can we use our existing handsets?

+

It depends on your current handsets. Modern IP-compatible desk phones can usually be reused on a VoIP system. Older analogue handsets can't be used directly but can work with an adaptor. Many businesses opt to use VoIP via a mobile app or computer softphone rather than desk phones at all, which eliminates hardware cost entirely. We'll assess your existing equipment and recommend the most cost-effective approach.

How is VoIP different from using WhatsApp or Teams calls?

+

WhatsApp and Teams are consumer or collaboration tools — they work well for internal communication but aren't designed to replace a business phone system. VoIP gives you proper business phone numbers, professional call handling (auto-attendant, call queuing, call recording), number porting, and the ability to receive calls from anyone — not just people using the same app. It's a proper telecoms solution, not a workaround.
